The WAP Mobile App is available for iOS and Android users and can provide a quick and easy way to enter or approve documents and reduce the risk of receipts or goods received documents being lost.

It is designed to complement the WAP website and therefore will not contain the full functionality of the WAP website, therefore if sites have a complex set-up it may not be supported by the App and should be tested before installing on customer site.

Once synced, documents will post through to WAP and if applicable, Sage.  Configuration must be done in the WAP Website prior to the mobile app being used.


1. Pre-requisites

To use the WAP App, external access is required (e.g. access to the mobile website from outside of your local network (i.e. from the internet).  This can be accomplished by the use of a VPN or an externally facing website set up on the WAP server.

It is also possible to log into the WAP Website from a mobile device using a standard internet browser to navigate to the web address used on the desktop (for example if your site’s set up is not supported by the app).


1.1. WAP Enable Module

For the WAP Mobile App to be used, WAP needs have been installed and a valid licence string entered within the WAP Web App system settings:

The WAP Mobile App is compatible with entering Requisitions, Expenses, Holidays and Timesheets, and approval of all of these modules as well as Invoices.


1.2. Mobile Service Endpoint Address

This will need to be created by the relevant IT contact.

We recommend VPN to be used via the mobile device so that the device is connected to the same network as the WAP service.

Alternatively, if WAP isn’t already externally facing, then an SSL certificate needs to be purchased and applied to the WAP Website (once purchased, refer to ‘Configuring the Mobile Endpoint Address further down this section).

In either case, the Mobile app needs its own unique URL (the Mobile Service Endpoint Address) to connect to which will need to be configured within the Mobile Access system settings within WAP, prior to configuring and installing the app. E.g. https://[Web address Domain]:61000/WAPService.

The domain server and URL for WAP Web Application should already have been set up as part of the WAP install.

Configuring the Mobile Endpoint Address – SSL

If you are already using WAP externally then the existing SSL certificate can be used, and requires port number 61000 opening on your server’s firewall and any other external firewall devices.  The router then needs port forwarding set up for this port.  61000 is the recommended port for the WAP app (unless known it is being used for something else; it must be different to the default website which is usually port 80 or 443 if using SSL)

Configuring the Mobile Endpoint Address – VPN

If you are using VPN you do not need to open a port as the device will be connected directly to the network.  However, the mobile endpoint address may be different to above (as in http instead of https).


1.3. Https Certificate Thumbprint

Unless using a VPN, this will need to be created by the relevant IT contact.

To use the mobile app over a secure connection requires purchasing and setting up an SSL certificate on the WAP website.  The SSL certificate supplies a unique thumbprint which needs to be applied in the mobile Access System Settings (see Section 2).  When the WAP Service creates the mobile service on start up the thumbprint is validated.

To find the thumbprint of any certificate:

  • Open IIS
  • Click the top level connection (usually the computer name)

  • Double click ‘Server Certificates’

  • Select the certificate from the list
  • Right click and select ‘View’
  • Select ‘Details’ tab and scroll down to ‘Thumbprint’
  • Click ‘Thumbprint’ and copy the text from the lower box and paste this into WAP settings

2. WAP Web App Configuration

Within the main WAP System Settings there are configuration options relating to the WAP Mobile App (System Settings – Miscellaneous tab – Mobile Access banner):

Enable Mobile Service: this will enable the WAP system to allow access from mobile devices connected via the WAP Mobile app


Mobile Service endpoint address
:  server URL which the WAP Mobile app will connect to; e.g. “https://[Web address Domain]:[Port Number]/WAPService”.
See Section 1.2 Mobile Service Endpoint Address.

Https certificate thumbprint to bind the port number to (required for https only):  required for users that require a secure connection.  See Section 1.3 Https Certificate Thumbprint

Max file upload size from mobile device:  if a maximum upload limit for attachments (in MBs) is required, enter the maximum size here.

Enable Mobile Timesheets:  tick to allow for timesheet configuration with the WAP Mobile app.

Enable Mobile Requisitions:  tick to allow for requisition configuration with the WAP Mobile app.

Enable Mobile Holiday Requests:  tick to allow for holiday request configuration with the WAP Mobile app.

Enable Mobile Expenses:  tick to allow for expense configuration with the WAP Mobile app.

Enable Mobile Invoices:  tick to allow for invoice configuration with the WAP Mobile app.


3. WAP App User Configuration

For users to be able to use the App they will need to be configured with the relevant User Type permissions in WAP (System Settings cogs – User Setup banner – User Type):

Mobile User:  if a user is to be adding documents through the app, they need to be configured as a mobile user.

Can add new timesheet:  the ability for a user to add a new timesheet.

Decimal timesheet entry (default is start and end times):  set how users are to enter time, either through decimal format or start and end time.

Can add new timesheet for others:  whether a user is allowed to enter timesheets through the app on behalf of other users.


4. WAP App Install

Establish which version of the WAP Mobile app is required by logging into the WAP Website on a desktop and checking the first digit of your WAP version number in the top right-hand corner:

Download the relevant version of the app from iOS or Microsoft App Centre as a standard app onto your mobile device.

V19.1 (v191) and above

If on your mobile device you have an app to scan QR codes, it is possible to use this to scan the QR code from Your Personal WAP settings on the WAP Website, to automatically reach the correct content rather than using the links above (see below).

Download the relevant version of the app from iOS or Microsoft App Centre as a standard app.

In the WAP Website, click on the icon across the top to Personalise your settings, and from within here are 3 sets of QR codes under the Mobile App Links banner, which can be used to install and set up the WAP App on your mobile device.

iOS: Scan this code from the WAP Website with an iPhone to be taken to the download link for Apple devices, and then download on the device as a standard app.

It is also possible to click on the ‘Download on the AppStore’ link which goes to the download address in a web browser.

Android: Scan this code from the WAP Website with an Android to be taken to the download link for Android devices, and then download on the mobile device as a standard app.

It is also possible to click on the ‘Download for Android’ link which goes to the download address in a web browser.

Endpoint address: Once the WAP Mobile app has been downloaded on the mobile device, this code can be scanned from within the WAP App on the WAP Mobile AppRefer to 5. WAP Mobile App Configuration.


5. WAP Mobile App Configuration

Once the mobile app has been installed on a user’s mobile device, open the WAP App and a prompt to set up the WAP Mobile App will appear.

Click ok to this message.

Click on the cogs on the top right to be taken into the Settings (it will not be possible to log into the app until initial configuration has been completed)

Web API URL: use the QR scan icon on the Mobile App to scan the QR code from Personalise your settings on the WAP Website (navigate to the Mobile App Links – Endpoint Address tab).

The URL can also be entered manually and must match the URL in WAP Web System Settings.  If this URL is not entered correctly, users will not be able to log into the WAP Mobile app.

Scanning this from your mobile will enter the URL address and can also be manually typed in if preferred.

The following options can be ignored at this stage however further information on each is below when ready to configure:

Remember Me:  if this is ticked, the user will be logged in automatically when loading the app.
If this the user will be working offline, this setting must be enabled for users to be able to login while the device is offline.
NB. It is not recommended to enable this if multiple users are to log in via the same device.

Use Windows Authentication: tick this if Windows Authentication is configured in the WAP website (if you are automatically logged into the WAP Website without needing to enter login credentials, it is unlikely Windows Authentication is configured.  Please check with the WAP SuperUser or IT if required).

Sync on Login:  once installed, syncing the app is required to transfer the information from the WAP App to the next stage.  See further in this guide.

This setting will be off until the first full sync has been done and can then be switched on if required.
On login a partial sync will be done which will obtain the latest holiday entitlement and tax rates.

Weeks to Sync:  choose the number of weeks to sync; by default, this is set to 8 weeks.

Advanced Settings

Database Reset:  this option can be used to reset all WAP data stored on the device.  For example, if multiple users are logging into the app from the same device, it is recommended that the database is reset between logins.  This setting will remove any journeys the user has marked as on their favourite list.

If the database has been reset, a full sync will need to be done once the user has logged in.

Connection Timeout (30-300 Secs):  if the app does not have a response from the service during sync, the sync will fail.  The default will be 60 but this might need to be increased if the connection to the server is slow.

Close the settings and the device will return to the login screen.

If the user requires to view their password on entry, click the eye icon.


6. WAP Mobile App Login

Open the app, enter the WAP username and password and click ‘log in’. When a user first logs in they will see a message to state that a full sync is required. Click the sync icon at the top right to access the sync page (see section 7).

Users will not be able to login if the Web API URL is not correct, or the device is offline and ‘Remember Me’ is not ticked in the settings (see section 5).


7. Sync

When a user first logs in they will see a message to state that a full sync is required.  Click the sync icon at the top right to access the sync page.

Click the option to Sync items, then in the next screen choose the option to Full Sync.

While the sync is happening a green progress bar will appear at the bottom of the screen with a yellow bar below showing what is being synced.  When the sync has been successful, a confirmation “Sync Completed Successfully” message will appear at the bottom of the screen and the sync screen can be closed.

A full sync is recommended to ensure the latest status of a document or entitlement is shown.  If a document has been submitted, e.g. a new expense claim, choose the option to only sync waiting items.

N.B: it is not possible to select to run a full sync if there are items waiting to be synced.

Once the full sync has completed and the screen closed, the user will be returned to their homepage.  From here they can view how many documents are awaiting their approval, and click any of the menu items to start using the module.

On this initial screen there are a couple of shortcuts to be able to take photos (e.g. receipts) or record a journey.  Note, location services need to be enabled for the WAP App to access the Start Journey feature.

It’s also possible to use the three lines (top left) to be taken to further items.
